Project Assistant

You will be providing important project administration and support to Berthon’s busy boat production and refit project office.

The department is responsible for managing production, refits, and in service support of boats for Berthon’s wide range of commercial customers, and we require the support of an experienced assistant to aid the administration and coordination of the day-to-day activities of the office, and its multiple projects.

This is a full-time role at Berthon’s Lymington shipyard (not hybrid or WFH). 

Roles and Responsibilities:

Working as part of a team, providing effective organisational, scheduling, costing, clerical and administrative support to the project managers, helping to ensure the successful and efficient delivery of a wide range of projects.

 Typical duties of this role include;

  • Establishing and maintaining filing systems and project documentation
  • Reviewing project progress, maintaining records and producing progress reports.
  • Support PM with preparation of project estimates and documentation
  • Preparation of stage payments and invoices, and submission for payment
  • Arranging meetings, organising the facilities, refreshments and support resources, recording minutes and following up action points.
  • Dealing with telephone and email enquiries.
  • Word processing and composing correspondence.
  • Assisting with project tender process.
  • Sourcing and placing purchase orders for components and services with suppliers and sub-contractors.
  • Administration of the company’s security operating procedures, including visitor and staff registration, and control of protected information and material.

Additional adhoc duties may arise for the effective and efficient running of projects, depending on client and contract requirements.  To the right candidate, this role would give opportunity for progression in the project management environment.

Skills & Abilities:

Essential

  • Effective verbal and written communicator.
  • Comfortable in a busy but dynamic team environment
  • High levels of computer literacy.
  • Good attention to detail and accuracy.
  • Flexibility and ability to identify support requirements.
  • Able to use own initiative and work unsupervised.

Desirable

  • Knowing the bow from the stern – Knowledge of marine terminology.
  • Previous experience in a similar technically focussed project team
